Where we measure it

Visibility isn't one place any more.

Every answer engine builds its index differently. We track them separately, because they behave separately.

Google AdsMetaLinkedInTikTokGA4Search ConsoleHubSpotShopify
AI made us faster.
It didn't make us new.
Why us, not the next one

We've been doing search
since 2009.

Four algorithm eras. This is the fifth. We know which parts matter and which parts are noise, because we were here for the last four times everyone said search was dead.

We're not yes-people. We're going to do what's good for your brand.

How it starts

No deck. No mystery number.

01

Fit call

Twenty minutes. What you are trying to hit, by when, what is in the way.

02

Access

Read-only. Analytics, Search Console, the CMS. We look before we talk.

03

Findings

Where you appear today across every answer engine. Yours either way.

04

Scope

Written, itemised, assumptions listed so you can argue with them.

05

The short answer

Tack Media builds and runs Zapier automations that connect a company’s apps without a development project. We design the Zaps, scope the connections, control task consumption and monitor for silent failure, and we tell you when the volume belongs somewhere cheaper. Engagements start at $5,000 a month.

What we actually do with Zapier

Zapier’s advantage is app coverage and speed to working. If two systems need to talk this week, Zapier is usually the honest answer. The trouble starts when a company treats it as permanent infrastructure without anyone owning it.

  • Zap design and build. Lead routing, CRM record creation, notification chains, form to CRM to email sequences, and the reconciliation jobs that keep two systems in agreement.
  • Task consumption control. Filters and Paths placed before the expensive actions, because they cost nothing and stop actions that would. Most inherited accounts pay for tasks that a filter should have prevented.
  • Connection hygiene. Shared connections owned by the company rather than by an employee’s personal login. This is the single most common cause of an account-wide outage after somebody leaves.
  • Monitoring and failure handling. Error alerts into Slack, Zap history reviewed on a schedule, and a documented owner. Zapier will turn off a Zap that keeps erroring, and nobody notices until a week of leads has gone missing.
  • Migration off Zapier. When task volume makes it the most expensive line in the stack, we move the heavy flows to n8n or Make and leave the long tail of simple Zaps where they are. Hybrid is usually the right answer.
  • AI steps. Where drafting or classification belongs in the flow, we call Claude or ChatGPT and validate the output before it reaches a customer-facing action.

What it connects to

Connects to What moves Why it matters
HubSpot New contacts, deal stage changes, note creation Records get created the moment a lead arrives, not at the next data entry session
Pipedrive Deals, activities and person records in both directions A small sales team gets CRM discipline without new headcount
Salesforce Lead and case creation, field updates on a schedule Low-volume integrations that never justified an Apex build
Shopify Orders and customers out to CRM, accounting and support Every order reaches the systems that need it
Klaviyo Profiles and custom events in from outside the store Offline and phone activity influences email flows
WordPress Form submissions out; post creation in The website stops being an island
Slack Lead alerts, approval requests and error notifications Response time improves without anyone watching a dashboard

Where teams get stuck

Not knowing what a task is. Zapier is specific: a task is any successful action that runs, while triggers, Filters, Paths, Formatter, Delay, Looping and failed actions cost nothing. Zapier MCP consumes 2 tasks per successful tool call and Lead Router 5 tasks per lead routed. Teams that put a filter as step five rather than step two are paying for three actions that should never have run.

Overage behaves differently than expected. Once you exceed the plan limit, accounts move to pay-per-task billing, and Zapier documents that once usage reaches three times the plan’s task limit, remaining tasks are held until the billing cycle resets unless you upgrade. A traffic spike does not just cost more, it can stop the automation entirely.

The plan tier was chosen on price, not on features. As of 26 August 2026 Zapier publishes Free at 100 tasks a month with two-step workflows, Professional from $19.99 with multi-step Zaps and webhooks, and Team from $69 with 25 users, shared connections and SAML SSO. Shared connections sit on Team. If your Zaps are authenticated by one person’s account, you are on the wrong tier. Zapier changes pricing, so confirm before you sign.

Volume outgrew the billing model quietly. Per-task billing on a five-step Zap means five tasks per record. At 10,000 records a month that is 50,000 tasks. The same job in n8n counts as 10,000 executions, since n8n defines an execution as one run of the entire workflow regardless of step count. Nobody does this arithmetic until the renewal quote arrives.

How it works — 1, 2, 3

  1. Audit and access, week 1. Every Zap, its task consumption, its owner and whether it still does anything useful. Turned-off and duplicate Zaps get cleared. This step alone often reduces the bill.
  2. Build and connect, week 2 to 4. Zaps rebuilt with filters early, connections moved to company-owned logins, error alerting attached, and naming that tells you what a Zap does without opening it.
  3. Run and report, ongoing. Zap history reviewed, errors triaged, task consumption tracked against the plan, and a monthly recommendation on anything that should migrate.

What it costs

Tack Media engagements start at $5,000 a month. What moves the number: how many Zaps, how many systems, whether AI steps are involved, and whether we are cleaning up an inherited account or building fresh.

Your Zapier subscription is separate and stays in your name. The tiers above are as published on 26 August 2026 and Zapier revises them. For comparison, Make lists Core at $12 and Pro at $21 for 10,000 operations, billing per module run rather than per successful action. This work sits inside marketing systems and automation and AI services.

Questions we get asked

When is Zapier the right choice?

When you need something working this week, when the app you need has a Zapier connector and nothing else, and when volume is modest. It is genuinely the fastest path from problem to working automation, and we say so often.

When is it the wrong choice?

High volume with long Zaps, logic that needs real branching and error recovery, or data that cannot pass through a third-party service. At that point n8n or Make is cheaper and more controllable.

Who owns the Zapier account?

You do. It is your subscription and your connections. We work as users inside it. When we build, connections are authenticated to company-owned logins so nothing breaks when a person leaves.

Can we take it in-house later?

Yes, and Zapier is the easiest platform to hand back. We document each Zap, name them consistently, and run a session with whoever is taking over.

What if we already have a partner?

We can take the integration layer between Zapier and the ad platforms or CRM and leave the rest alone. Split ownership works when the boundary is written down.

The bottom line

Zapier is the right tool more often than automation purists admit, and the wrong tool more often than its bill suggests. The decision comes down to task volume, Zap length and whether the data can leave your systems.
