The token budget, spent by a naive integration. Pipedrive moved to token-based rate limiting, and the mechanics catch people out. The daily allocation is 30,000 base tokens multiplied by a plan multiplier and by the number of seats, with multipliers of 1x on Lite, 2x on Growth, 5x on Premium and 7x on Ultimate, as.

Where we measure it

Visibility isn't one place any more.

Every answer engine builds its index differently. We track them separately, because they behave separately.

AI made us faster.
It didn't make us new.
Why us, not the next one

We've been doing search
since 2009.

Four algorithm eras. This is the fifth. We know which parts matter and which parts are noise, because we were here for the last four times everyone said search was dead.

We're not yes-people. We're going to do what's good for your brand.

How it starts

No deck. No mystery number.

Twenty minutes. What you are trying to hit, by when, what is in the way.

02

Access

Read-only. Analytics, Search Console, the CMS. We look before we talk.

The short answer

Tack Media sets up Pipedrive and connects it to ads, the website, email and automation so a small sales team has attribution without enterprise software. Work covers pipeline design, data migration, lead routing, API integrations and reporting. Engagements start at $5,000 a month.

What we actually do with Pipedrive

Pipedrive is the right choice for a lot of teams that have been sold something heavier. It is fast, sales people use it, and it has a capable API. What it does not do is configure itself around your process.

  • Pipeline and stage design. Stages defined by buyer action rather than by internal feeling, with written exit criteria. If a stage cannot be evidenced, it is not a stage.
  • Custom fields and data model. The minimum set of fields that supports reporting, not the maximum set someone can imagine. Required fields enforced at the stage where the information actually exists.
  • Migration and dedupe. From spreadsheets, another CRM or an inbox. Mapping documented, duplicates resolved before import rather than after.
  • Lead capture and routing. Web forms, ad platform lead forms and calls landing as Leads or Deals with source, campaign and creative attached, assigned to an owner automatically.
  • Attribution. Click IDs captured at the form and carried onto the Deal, then closed-won value returned to the ad platforms so bidding optimises on revenue.
  • API and automation work. Pipedrive maintains both v1 and v2 of its REST API with published OpenAPI 3 specification files. We build against the current version and keep a note of what each integration targets.
  • Reporting. Deal velocity, stage conversion and cost per closed-won by channel, exported where Pipedrive’s own reporting stops.

What it connects to

Connects to What moves Why it matters
Google Ads GCLID in on the form; won deal value back as an offline conversion A small budget stops being spent on leads that never close
Meta Ads Lead ads in; qualified and won events back via the Conversions API Meta optimises on quality rather than on cheapest form fill
LinkedIn Ads Lead Gen Form submissions in with campaign and creative fields B2B attribution without buying an enterprise CRM
Slack New deal, stage change and stalled-deal alerts to the owner Speed to first contact improves immediately
n8n Enrichment, dedupe, routing, and syncs to tools with no native connector Rate-aware batching so the daily token budget survives
Zapier Lightweight triggers between Pipedrive and everyday tools Fast to ship where volume is low and logic is simple
Looker Studio Deals, values and stage data blended with ad spend Cost per won deal by channel, in one view

Where teams get stuck

The token budget, spent by a naive integration. Pipedrive moved to token-based rate limiting, and the mechanics catch people out. The daily allocation is 30,000 base tokens multiplied by a plan multiplier and by the number of seats, with multipliers of 1x on Lite, 2x on Growth, 5x on Premium and 7x on Ultimate, as of 26 August 2026. Costs are not uniform: a single-record fetch costs 2 tokens, a list query costs 20, an update costs 10 and a search costs 40. An integration that searches before every write will exhaust a small team’s daily budget and return 429 for the rest of the day. The fix is caching and batching, not a bigger plan.

Burst limits on top of the daily budget. The same documentation sets burst limits per two seconds by plan for API-token auth: 20 on Lite, 40 on Growth, 100 on Premium and 120 on Ultimate, with OAuth apps allowed four times those figures, and the Search API held to 10 requests per two seconds on every plan. Building on OAuth rather than an API token is often the cheapest performance improvement available. Vendor limits change, so we verify at build time.

Seats bought before the process exists. As of 26 August 2026, Pipedrive lists Lite at $14, Growth at $39, Premium at $59 and Ultimate at $79 per seat per month billed annually. Because the API token budget scales with plan and seat count, the plan decision is an integration decision as well as a feature decision. Pipedrive changes pricing, so confirm on their page.

Deals that never get marked lost. Open deals from fourteen months ago sitting in stage two. Pipeline value becomes fiction, forecasting becomes impossible, and attribution reporting inherits the mess. A rotting-deal rule fixes it in a week.

How it works — 1, 2, 3

  1. Audit and access, week 1 to 2. Current CRM or spreadsheets, forms, ad accounts and the actual sales process as described by the people doing it. You get a pipeline design and a field map before anything is built.
  2. Build and connect, week 2 to 6. Pipeline and fields, then migration and dedupe, then lead capture and routing, then the return path to the ad platforms. Live testing with real submissions before cutover.
  3. Run and report, ongoing. Weekly hygiene and routing checks, monthly review on cost per won deal by channel, quarterly review of fields and automations that are no longer used.

What it costs

Tack engagements start at $5,000 a month. What moves the number: whether a migration is involved, how many lead sources need capture and routing, how many custom integrations are required, and whether we are also running the ad accounts feeding the pipeline.

Pipedrive’s own subscription is separate and billed to you, at the per-seat prices cited above with their as-of date. Vendor pricing changes. If your process genuinely needs more configurability than Pipedrive offers, we will say so and point you at HubSpot, where Marketing Hub Professional starts at $800 a month as of 26 August 2026, or at Salesforce. We do not resell CRM licences, so that recommendation costs us nothing either way.

Questions we get asked

Who owns the Pipedrive account?

You do. Your subscription, your data, your admin user. We work inside it as users and we can be removed in a minute without breaking anything.

Can we take it in-house later?

Yes, and most clients should. The pipeline design, field map, automation logic and integration specs are documented as part of the system we hand over.

Do you work with our existing setup?

Usually. We keep deal history and rebuild the pipeline around it. Where we push back is on custom fields nobody fills in and automations nobody can explain.

Is Pipedrive enough, or do we need something bigger?

For most sales teams under about twenty people with a linear process, Pipedrive is enough and the money is better spent on lead generation. You need something heavier when you have multiple business units, complex quoting or approval logic.

Do you build the automation around it too?

Yes. Enrichment, routing, follow-up sequencing and CRM write-back are part of our automation and AI work. Tack are AI integrators, not trainers.

The bottom line

Pipedrive is fast enough that a sales team will actually use it, which makes it the right CRM for far more companies than admit it. The value comes from what you connect to it, and from respecting the token budget when you do.

If leads are arriving and nobody can say which campaign produced the ones that closed, book a call with a Tack expert or phone 310-620-1141.
