In plain language

What this actually means.

An event activation is a build that produces two things a marketing team can actually use: qualified conversations on the floor, and footage you can still post six months later. The measure is captured leads per day and usable minutes per hour of shooting — booked, staffed, shot and delivered by one crew.

Questions people actually ask

Straight answers.
Including the price ones.

What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

Yes — fairgrounds, ranches, wineries and parking-lot builds. Power, weather cover and load-in access are the three things we scope first.

Where we measure it

The short answer

Tack Media builds, staffs and films brand activations at San Diego Comic-Con — on the exhibit floor and offsite in the Gaslamp Quarter, where the experiences are badge-free. Staffed multi-day activations from $4,500 to $12,000 depending on stations and daily content output. Pricing is given on the first call.

The two markets, and why they are different

Comic-Con is really two events. Inside the San Diego Convention Center: 135,000-plus attendees, 1,000-plus exhibitors, over $160 million in regional economic impact, more than 61,000 hotel room nights, over $95 million in visitor spend, and a contract keeping the show in San Diego through 2030 (Inside San Diego). Comic-Con 2026 runs 23–26 July, Preview Night 22 July (Comic-Con International).

Outside the hall is a second, badge-free market. The Gaslamp Quarter and Petco Park host free brand activations that need no badge — themed pop-up restaurants, immersive builds, interactive experiences. Roughly 200,000 people took part in Comic-Con-related downtown activities in 2018, and offsite participation reached approximately 300,000 by 2025 (San Diego Comic-Con). That is a larger reachable audience than the show floor, without exhibit space, without drayage, and without the venue’s rulebook applying to your build. Which market you belong in depends on what you sell, and we will tell you honestly on the first call.

Who this is for — and who it isn’t

This is for you if:

  • You are a studio, publisher, game, streaming platform or consumer brand with a fandom, and Comic-Con week is a fixed line in your calendar.
  • You want an offsite experience that earns queues and press without the cost and constraint of exhibit floor space.
  • You need the activation and the content team to be one accountable job, so the queue, the reaction and the reveal are captured and published the same day.

This is not for you if:

  • You are a B2B brand with no consumer story. Comic-Con is the wrong room and we will say so.
  • You want a custom fabricated island exhibit inside the hall. That is an exhibit house job; we activate and staff space, we do not build hanging structures.
  • You are deciding in May. Gaslamp venue inventory and crew are gone by then. This is a nine-to-twelve month planning cycle.
  • You want the cheapest crew available. We staff our own people and price accordingly.

What you actually get

Deliverable What it is When you get it
Footprint and queue plan Scaled layout of the activation, on floor or offsite, with queue path, camera positions and power marked Within 5 days of the fit call
Compliance pass On-floor builds checked against the venue’s published rules — freight routing, banned materials, rigging restrictions, sampling caps Before the service deadline
Built and staffed experience The station or set, plus our own attendants running it, capturing names and managing the line Standing before doors open
Live content team Shooter, editor and community manager publishing same-day vertical cutdowns and running your channels Every open hour
Nightly report Queue throughput, sessions, captured contacts, reach, saves, profile visits and DM volume Each night
Full library and recap film Every usable frame, colour-corrected stills and the long-form edit Within 48 hours of load-out

How it works — 1, 2, 3

  1. The 20-minute fit call. On floor or offsite, what you are launching, what the experience is, who owns the channels, who signs off. You get a price on that call.
  2. The first 30 days. Footprint plan, venue or Gaslamp site paperwork, freight routing through the official contractor for on-floor builds, internet ordered to the payment deadline, and labour scope confirmed in writing. First pre-show asset ships.
  3. Show week and after. Load in on your slot, run the experience every open hour, publish live, report nightly, and hand over the lead file, the full library and the recap inside 48 hours of load-out.

What it costs

Staffed multi-day activations from $4,500 to $12,000 depending on stations and daily content output. Retained engagements start at $5,000 a month. Pricing is given on the first call.

What moves the number: on-floor versus offsite, number of stations, number of show days, whether you want live streaming, and how much finished content you want per day. Venue rent, Gaslamp site fees, freight and permits go to those providers, not to us.

On-floor rules you cannot design around

Inside the Convention Center the venue’s published regulations govern the build, and San Diego’s are the strictest in the corridor. The building will not accept delivery of show materials or freight — everything routes through the official service contractor or is hand-carried. Four unions hold jurisdiction: Painters & Allied Trades, IATSE, IBEW and Teamsters, with requirements set by local representatives event by event. Rigging is restricted to the in-house preferred AV contractor and approved general services contractors under certified ETCP supervision, so you cannot bring your own rigger. Mylar balloons are banned outright, helium balloons cannot be distributed or sold, and new foam core signage is prohibited for single-use displays. Sampling is capped at two ounces of a solid or four ounces of a non-alcoholic beverage, and the main floor carries a 350 pound per square foot load limit (San Diego Convention Center exhibitor regulations).

Add one rule from outside the building: genie lifts are prohibited in San Diego, and permitted in Los Angeles, Ontario, Long Beach and Anaheim (Union Guidelines by City). Overhead branding plans copied from an Anaheim show do not work here.

Offsite in the Gaslamp, none of that rulebook applies. You are dealing with a private venue, a city permit and your own build schedule instead. That is precisely why so much of the money has moved there.

Camera crew, honestly

IATSE holds one of the four jurisdictional agreements at the San Diego Convention Center, with requirements set per event by local representatives (venue regulations). At the Los Angeles Convention Center, IATSE Local 33’s published jurisdiction explicitly names camera operators alongside AV, theatrical lighting, rigging and stage assembly (AVR Expos — Los Angeles). We will not claim San Diego’s terms are the same; they are set show by show. We confirm scope in writing with the general services contractor before quoting an on-floor camera crew, and required union labour goes in the budget openly. Offsite this does not arise. Same discipline on our LA convention social media team work, where Local 33 jurisdiction is explicit.

Connectivity, with published prices

Complimentary WiFi at the Convention Center runs at 256 Kbps and covers ground-level lobby areas A–H and Tides Restaurant only. Basic broadband is $895 for one device plus $185 per additional device up to four more; dedicated bandwidth runs $3,495 for 3 Mbps to $15,500 for 20 Mbps; a switch is $225 and floor installation labour $125 per hour, with payment due 14 days before first move-in for incentive pricing (Trade Show Internet). One 1080p60 live stream alone needs about 12 Mbps of encoded H.264 bitrate (YouTube Live encoder settings). Offsite, we run on bonded cellular. The full corridor comparison sits on our WiFi and drayage cost page.

How this gets measured

  • Queue throughput. Completed sessions per hour and total per day. The core number for any experience with a line.
  • Captured contacts. Names taken and routed to a named person, tagged by source.
  • Content output and latency. Finished assets per day against the shot list, and time from capture to live post.
  • Earned reach. Posts by attendees carrying your hashtag or location tag, against your own pre-show baseline. Paid amplification afterwards runs through our paid media and CRO team.

Common mistakes we see

Starting in spring. Gaslamp venues, crew and permits are committed long before. Nine to twelve months out is the real window.

Building an offsite experience with no capture plan. A queue nobody filmed is a queue that reached the people already standing in it.

Shipping direct to the Convention Center. It will be refused (venue regulations).

Assuming on-floor rules travel offsite, or the reverse. Two different compliance regimes; mixing them up costs a rebuild.

Questions we get asked

Should we be on the floor or offsite?

Offsite reached roughly 300,000 participants by 2025, with no drayage and no exhibitor rulebook. On floor puts you in front of buyers, press and the show’s own programming. Many brands do both.

How long until we see results?

Day one. Sessions and captured contacts start when doors open and content publishes the same day. Earned reach compounds through the week.

Do we own the leads and the footage?

Yes. Contacts arrive in your CRM format and you own every frame.

When should we start planning?

Nine to twelve months out. Comic-Con is contracted to San Diego through 2030, so the dates are predictable and there is no excuse for a late start.

Who actually does the work?

Our own crew out of our Northridge studios. Named attendants, shooter, editor and community manager, met before the show.

The bottom line

Comic-Con is the highest-budget activation market in Southern California and the only one where the audience outside the building may be larger than the one inside. Decide which market you are in early, plan against the right rulebook, and staff the capture as seriously as the build.
