The short answer

Southern California’s major convention venues are the Los Angeles Convention Center, Anaheim Convention Center, Long Beach Convention & Entertainment Center, Pasadena Convention Center and the Ventura County Fairgrounds. Between them they host Anime Expo, the LA Auto Show, Natural Products Expo West, The NAMM Show, WonderCon, Star Wars Celebration, Impressions Expo and dozens more each year. Booth activations and camera crews should be booked six to ten weeks out.

What it involves

How far out to book us.

Dates move — always confirm with the organiser. What does not move is how early the good crews get taken in this market.

01

10 weeks out

Simulator builds. Floor plan, power, rigging and venue approval all take longer than people think.

02

8 weeks out

Booth design and fabrication, if you want it to look like a brand and not a booth.

03

6 weeks out

Camera crew and on-site social team. Good ones are gone inside the LA market by then.

04

4 weeks out

Content plan, shot list, lead-capture mechanic and the paid campaign around the show.

05

2 weeks out

Geo-fenced ads live, targeting badge-holders before they walk the floor.

06

Show week

Load in, shoot, cut, post, capture, strike. One team, one invoice.

In plain language

What this actually means.

An event activation is a build that produces two things a marketing team can actually use: qualified conversations on the floor, and footage you can still post six months later. The measure is captured leads per day and usable minutes per hour of shooting — booked, staffed, shot and delivered by one crew.

What it is built with

The actual stack.
Named, not implied.

Capture

Sony FX3 and FX6, DJI gimbals, Mavic 3 drone where airspace allows, Rode and Sennheiser audio

Live & streaming

ATEM Mini Extreme, vMix, bonded cellular uplink, YouTube and LinkedIn simulcast

Stage & AV

LED walls, line array, wireless comms, show-caller run of show

Interactive builds

Touchscreen kiosks, prize wheels, photo and video booths, racing rigs on direct-drive wheelbases

Lead capture

Tablet kiosk, QR to a booking page, badge scan export, same-day CRM push

Post

Same-day vertical cutdowns, DaVinci Resolve and Premiere, delivery inside 24 hours

The kinds of integrations we build

Concrete, not conceptual.

01

Badge scan → CRM

Every scan and kiosk entry lands in your CRM tagged by event, station and rep before the show closes.

Kiosk + HubSpot
02

Floor → social

Vertical cutdowns posted the same day, while the audience is still in the building.

Resolve + scheduler
03

Stage → library

Every session recorded, captioned and cut into clips you can run as ads for the next twelve months.

Multi-cam + Frame.io
04

Registration → follow-up

Attendees and no-shows split into two sequences automatically the morning after.

Eventbrite + Klaviyo
Questions people actually ask

Straight answers.
Including the price ones.

What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

Yes — fairgrounds, ranches, wineries and parking-lot builds. Power, weather cover and load-in access are the three things we scope first.

AI made us faster.
It didn't make us new.
Why us, not the next one

We've been doing search
since 2009.

Four algorithm eras. This is the fifth. We know which parts matter and which parts are noise, because we were here for the last four times everyone said search was dead.

We're not yes-people. We're going to do what's good for your brand.

How it starts

No deck. No mystery number.

01

Fit call

Twenty minutes. What you are trying to hit, by when, what is in the way.

02

Access

Read-only. Analytics, Search Console, the CMS. We look before we talk.

03

Findings

Where you appear today across every answer engine. Yours either way.

04

Scope

Written, itemised, assumptions listed so you can argue with them.

05

Start

Within a week of signature. You own every account.

We lock in.
We scope.
We got you.

Twenty minutes, no deck. Tell us what you're trying to hit and we'll tell you straight whether we're the right team for it.
