What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

What venue internet actually costs

Smart City Networks is the exclusive internet provider at the Anaheim Convention Center (Smart City — Anaheim) and at the San Diego Convention Center, where it has held the contract since 2000 and runs 950+ access points (Smart City — San Diego). Published dedicated bandwidth at both:

Below the dedicated tiers, San Diego publishes basic broadband at $895 for one device with a private IP, plus $185 per additional device up to four more. A 24-port switch is $225, floor installation labour $125 per hour, and payment must land 14 days before first move-in for incentive pricing (Trade Show Internet).

Why the free WiFi will not carry a live posting team

San Diego publishes the most honest free-tier spec in the corridor. Complimentary WiFi runs at 256 Kbps, confined to ground-level lobby areas A–H and Tides Restaurant, and described as appropriate only for tasks that are not bandwidth intensive (Trade Show Internet). That is email. It is not a booth.

Now the other side. A single 1080p60 live stream needs roughly 12 Mbps of encoded bitrate on H.264, 1080p30 about 10 Mbps, 720p60 about 6 Mbps and 2160p60 about 35 Mbps (YouTube Live encoder settings). One sustained outbound stream, before anybody uploads a 4K master or pushes cutdowns to three platforms. A crew publishing live all day is an upstream problem, and upstream is what an oversubscribed attendee network has least of.

The practical read: if your booth is streaming, a 10 Mbps dedicated line at $7,850 is a realistic floor, not a luxury. If your team is posting rather than streaming, basic broadband plus a bonded cellular uplink is usually cheaper and more reliable — how we run our own convention and trade show activations.

At the Los Angeles Convention Center, Smart City is also the exclusive in-house telecommunications provider. An upgrade added 40,000 feet of fibre, 76,000 feet of copper and 210 Cisco access points, and extended complimentary WiFi from three food court areas to all public spaces, with paid Instant Internet and Exhibitor Internet alongside (LACC). We could not find an LACC exhibitor rate card published openly, so we will not quote one. Ask for the service kit.

What drayage actually costs

Drayage — material handling — is the charge for moving freight from the dock or warehouse to your booth and back out. Billed per hundredweight (cwt), mandatory above the hand-carry threshold, and the line item that most often blows a first-time exhibitor’s budget.

Worked example: a 1,400 lb shipment is 14 hundredweight. At $145/cwt through the advance warehouse that is roughly $2,030 each way, before special handling, overtime or marshaling — and a missed early-bird deadline adds a 40–60% premium for the identical service.

The rules that change the maths

  • San Diego accepts no direct freight. Everything routes through the official service contractor or is hand-carried (San Diego Convention Center regulations).
  • Genie lifts are banned in San Diego and permitted in Los Angeles, Ontario, Long Beach and Anaheim (Union Guidelines by City).
  • Hand-carry is one person, one trip. No dollies, flat trucks or other mechanical equipment for exhibitor use. Self-install is limited to one full-time employee doing the work in an hour or less without tools (same source).
  • Labour clock. Straight time Monday to Friday 08:00–16:30; overtime outside those hours and all Saturday; double time Sunday and holidays. Cords must be 14-gauge minimum, three-wire with ground, flat for floor runs (EACA Union Work Rules).
  • Camera jurisdiction at LACC. IATSE Local 33 jurisdiction explicitly covers camera operators alongside AV, theatrical lighting, rigging and stage assembly (AVR Expos — Los Angeles). Any agency selling an on-site camera crew at LACC that has not raised this has not read the rules.
  • Pasadena’s dock window. Vehicles enter head first and exhibitors get 30 minutes to unload before the vehicle must clear (Visit Pasadena).
  • Anaheim staging. The Claudina Marshaling Yard offers six acres two miles from the building for freight receipt and move-in staging (Visit Anaheim).

  • Service spend versus early-bird benchmark. What you paid against the same order inside the deadline. A 40–60% gap is a process failure, not a market rate.
  • Connection headroom. Sustained upstream during peak floor hours versus the encoded bitrate your workflow needs.
  • Freight accuracy. Billed hundredweight versus your manifest weight. Check it; reweighs happen.
  • Cost per published asset. Total show content cost divided by finished assets. The number that makes the connectivity line legible to a CFO.

Common mistakes we see

Ordering on the floor. A 40–60% premium on contractor orders for identical service (Pure Exhibits).

Budgeting bandwidth by download speed. Publishing is an upload problem. Size the line against encoded bitrate, not how fast a web page loads.

Missing the San Diego payment deadline. Incentive pricing requires payment 14 days before the first move-in day (Trade Show Internet).

Shipping direct to San Diego. The building will not accept it (San Diego Convention Center).
