What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

Yes — fairgrounds, ranches, wineries and parking-lot builds. Power, weather cover and load-in access are the three things we scope first.

This is for you if:

  • You are exhibiting at the Acura Grand Prix Lifestyle Expo, Impressions Expo, the A&WMA Conference, WESTEC or Anime Los Angeles, and the booth spend needs defending internally.
  • You have both an indoor hall presence and an outdoor or street-side element, which Long Beach uniquely creates during Grand Prix weekend.
  • You want content published while the crowd is still in the building, not a recap film in three weeks.

This is not for you if:

  • You need two hours of headshots on opening morning. That is a photographer booking and it costs less.
  • Every asset routes through legal before it publishes. Live posting cannot survive that. We will shoot and deliver next day instead.
  • Nobody on your booth staff is set up to take an inbound DM. Content without a handoff is decoration.

  2. The first 30 days. Account audit, shot list built against the show schedule, venue internet ordered inside the early-bird window, badges and contractor forms filed. The first pre-show asset ships before load-in.
  3. Show week and after. Crew loads in with your build, works every open hour, posts live, reports nightly. Full library inside 48 hours of load-out. On retainer, a monthly content calendar and a monthly review with the same team.

What moves the number: show days, whether you need a second shooter for an outdoor position as well as the hall, live streaming, channel count, and how fast you want the recap. Venue and show costs sit on top and go to the venue.

The building, and what it means for content

Long Beach gives you 224,000 square feet of contiguous exhibit space across three halls — Hall A at 91,000, Hall B at 57,000 and Hall C at 76,000 — all under 25-foot ceilings, plus a 20,456 square foot Grand Ballroom, a 13,200 square foot Promenade Ballroom and a 6,317 square foot Seaside Ballroom. The Long Beach Arena seats 13,000, the Terrace Theater 3,052 and the Beverly O’Neill 800 (Visit Long Beach). In total the campus carries more than 400,000 square feet of meeting and exhibit space across 34 meeting rooms (Long Beach Convention Center).

The 25-foot ceiling matters more than it sounds. Lower than the 40-foot South Hall at LACC means less overhead rigging, more usable ambient light and cleaner handheld gimbal work. The waterfront matters too: Ocean Blvd, the harbour and the Queen Mary are a two-minute walk, so a crew can shoot brand b-roll that does not look like convention centre carpet without leaving the block.

The Grand Prix weekend is a different job

The Acura Grand Prix of Long Beach Lifestyle Expo is the most unusual exhibitor environment in the corridor. More than 200,000 ticket holders attend the race weekend, over 180,000 of them visit the expo and outdoor vendor areas, and there are more than 100 displays across more than 270,000 square feet of exhibit space in the Convention Center, with at least 30,000 square feet given to the Green Power Prix-View. Indoor display spaces run from 10’x10′ at $2,290 to 40’x80′ at $19,195; retail spaces run $3,340 indoor and $4,560 outdoor at 10’x10′ (Grand Prix of Long Beach). Those are published prices. Anyone searching for a content team for this show has already committed real money.

Practically, it is a dual indoor-and-outdoor activation, and the street circuit closures constrain when vehicles can move. We plan load-in around that, and we schedule outdoor capture around the race programme rather than fighting it. Impressions Expo, the West Coast’s largest decorated apparel show, returns to the building 21–23 January 2027 and is a completely different job — dense B2B floor, live demos, technical buyers (Impressions Expo Long Beach).

Labour rules, and the camera question

Long Beach sits under the same Southern California trade show labour regime as the rest of the corridor. Exhibitor self-install is limited to one full-time employee working an hour or less without tools. Hand-carry is one person, one trip — no dollies, flat trucks or other mechanical equipment. Genie lifts are permitted in Long Beach, unlike San Diego where they are banned outright (Union Guidelines by City). Straight time runs Monday to Friday 08:00–16:30, overtime outside those hours and all day Saturday, double time Sunday and holidays. Exhibitor-supplied cords must be minimum 14-gauge, three-wire with ground, and flat for floor runs (EACA Union Work Rules).

On camera crew specifically, we say this plainly because most agencies do not. At the Los Angeles Convention Center, IATSE Local 33 jurisdiction explicitly names camera operators alongside AV, lighting, rigging and stage assembly (AVR Expos union rules — Los Angeles). Long Beach is a separate building with its own agreements, applied show by show through the general services contractor. Before we quote, we confirm in writing what our crew may operate and where. If union camera labour is required alongside us, it appears in the budget rather than on the floor. Same discipline on LA convention social media team jobs, where Local 33 jurisdiction is explicit.

How this gets measured

  • Publish latency. Capture to live post. Under 90 minutes during show hours is good. Next morning is a miss.
  • Volume against plan. Finished assets per show day versus the agreed shot list, reported nightly.
  • Booth-attributable traffic. Profile visits, link clicks and DM volume during show hours, measured against your own baseline for the same weekday.
  • Lead handoff. How many inbound conversations reached a named seller, and what happened next. Retargeting the audience that saw the content runs through our paid media and CRO team.

Common mistakes we see

Assuming venue WiFi will carry a live team. Upstream is the constraint. One 1080p60 stream needs roughly 12 Mbps of encoded H.264 bitrate (YouTube Live encoder settings), before anyone uploads a 4K file. Convention centre bandwidth is expensive and ordered in advance — the corridor figures are on our WiFi and drayage cost page.

Ordering services on the floor. Across the corridor, floor-ordered general contractor services carry a 40–60% premium and early-bird windows close 4–6 weeks out (Pure Exhibits).

Treating Grand Prix weekend as a normal hall show. Street closures dictate vehicle movement. Plan the outdoor capture around the race schedule or lose half a day.

Not shooting the waterfront. You are paying to be on Ocean Blvd. Use it.

How long until we see results?

Same day. First cutdowns publish within hours of doors opening. Follower growth, retargeting pools and DM conversations resolve over the four to six weeks after.

What if it isn’t working?

Nightly numbers, not a post-show report. If a format is not landing by end of day one we change it for day two.

Do we own the accounts and the footage?

Yes. You own your channels and every frame. The full library ships within 48 hours of load-out.

What is the contract?

Show by show. No annual commitment to book a crew for the Lifestyle Expo or Impressions Expo. Retained engagements start at $5,000 a month.

Who actually does the work?

Long Beach is the one building in the corridor where an indoor hall, an outdoor vendor row and a usable waterfront backdrop sit within a two-minute walk. That combination is worth staffing properly, and worth planning around the labour and connectivity rules first.
