Three exhibit days is the number to plan crew against, not four. We book Expo West crews in the autumn, because the good editors go first and the venue service deadlines fall early.

What moves the number: whether you want a second shooter for education sessions as well as the booth, live streaming, channel count, how many founder interviews you want banked, and how fast you want the recap. Venue and show costs sit on top and go to the venue.
Connectivity. Smart City Networks is the exclusive technology and internet provider at the Anaheim Convention Center (Smart City Networks). Published dedicated bandwidth runs $3,495 for 3 Mbps, $7,850 for 10 Mbps and $15,500 for 20 Mbps, and those prices exclude a wireless access point (WiFiT). Expo West fills the building. Complimentary attendee WiFi in a hall that full is not a production connection. One 1080p60 live stream alone needs around 12 Mbps of encoded H.264 bitrate (YouTube Live encoder settings).
Freight. Drayage at Anaheim runs $110 to $175 per hundredweight, roughly $120–$155/cwt through the advance warehouse and $140–$170/cwt direct to show. The advance warehouse opens 21–30 days out with a hard must-arrive deadline, early-bird service deadlines fall 4–6 weeks before the show, and anything ordered on the floor carries a 40–60% premium. Island booths get the first move-in slots; inline booths are scheduled much later (Pure Exhibits). For a food brand this is not abstract — chilled and frozen product has its own timetable and it does not wait for a late dock slot.
Staging. The Claudina Marshaling Yard is six acres of asphalt at Anaheim Blvd and Claudina Way, off the I-5 and within two miles of the building, used for freight receipt, move-in and move-out staging and during-event storage (Visit Anaheim). Full figures sit on our WiFi and drayage cost page.
Sampling rules. These are set by the venue and the show, and they vary by building. At the San Diego Convention Center, for example, licensed food exhibitors are capped at two ounces by weight of a solid product and four ounces by volume of a non-alcoholic beverage, with all alcohol service run by the venue (San Diego Convention Center regulations). We do not have a published Anaheim equivalent to quote, so we confirm your show’s sampling terms in writing with the organiser before we build the shot list around a tasting. Guessing at this is how brands end up with a shut-down sampling station and a crew filming nothing.
Southern California rules limit exhibitor self-install to one full-time employee working an hour or less without tools, and hand-carry to one person, one trip, with no dollies or flat trucks (Union Guidelines by City). Straight time is Monday to Friday 08:00–16:30, overtime outside those hours and all day Saturday, double time Sunday and holidays (EACA Union Work Rules).
On camera crew: at the Los Angeles Convention Center, IATSE Local 33 jurisdiction explicitly covers camera operators alongside AV, lighting and rigging (AVR Expos union rules — Los Angeles). Anaheim is a different building with show-by-show agreements through the general services contractor, so we confirm in writing what our crew may operate before we quote rather than assuming. The same discipline applies to our LA convention social media team work, where Local 33 jurisdiction is explicit.
Booking the crew in January. By then the early-bird service deadlines are gone and the good editors are committed. Book in autumn.
Filming the booth instead of the people. Nobody saves a video of a shelf. They save a founder explaining why the formulation changed.
Ordering internet on the floor. Floor-ordered services carry a 40–60% premium at Anaheim (Pure Exhibits).
No plan for the footage after Friday. Three exhibit days should produce a quarter of content. Most brands post four clips and abandon the rest.
Same day. First cutdowns publish within hours of the exhibit hall opening. Buyer follow-up and retargeting effects resolve over the four to six weeks after.
Nightly numbers, not a post-show report. If the format is not landing by end of day one we change it for day two.
Yes. You own your channels and every frame. Full library within 48 hours of load-out.
