What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

Yes — fairgrounds, ranches, wineries and parking-lot builds. Power, weather cover and load-in access are the three things we scope first.

Who this is for — and who it isn’t

This is for you if:

  • You are exhibiting at NAMM, Expo West, MD&M West, WonderCon, IPC APEX EXPO or Space Tech Expo and the booth is a six-figure line item you have to defend internally.
  • Your booth has something worth filming — a demo, a stage, a tasting, a signing, a build.
  • You want content published while the show is running, not a highlight reel three weeks later.

This is not for you if:

  • You want a photographer for two hours on opening morning. Book a photographer — smaller job, cheaper, and we will say so.
  • Legal approves every asset before it goes out. Live posting dies in an approval queue; we can shoot and deliver next day instead.
  • You have no booth staff to hand leads to. Traffic with nobody to talk to is noise.
  • You want the cheapest bodies on site. We staff our own crew and the rate reflects it.

How it works — 1, 2, 3

  1. The 20-minute fit call. Which show, which hall, booth size and number, stage or demo, who owns the accounts, who signs off. You get a price on that call. No deck, no discovery phase you pay for.
  2. The first 30 days. We audit the accounts we are about to post from, build the shot list against the show schedule, and file the paperwork: venue internet order, EAC forms where the show requires them, badge requests. First asset ships — usually a pre-show teaser — before we set foot in Anaheim.
  3. On site and after. Crew loads in with your build, works every open hour, posts live and reports nightly. Full library inside 48 hours of load-out. On retainer, the cadence becomes a monthly content calendar and a monthly review with the same named team.

What it costs

On-site activations start at $4,500 for a three-day show and run to $12,000 depending on stations covered and finished output per day. Ongoing retained engagements start at $5,000 a month.

What moves the number: show days, whether a second shooter is needed for a stage plus a booth, live streaming as well as posting, how many channels, and how fast you want the recap film. Venue costs sit on top and go to the venue. Pricing is given on the first call.

The venue costs nobody tells you about

Anaheim Convention Center is 1.8 million square feet, the largest on the West Coast. Halls A to E run 145,841, 147,335, 155,673, 221,284 and 143,474 square feet, ACC North adds 200,000 across two levels, and there are 99 meeting rooms and 238,000 square feet of ballroom (ACC Spec Guide). A building that size has building-sized service costs.

Internet. Smart City Networks is the exclusive provider at ACC (Smart City Networks). Published dedicated bandwidth runs $3,495 for 3 Mbps up to $15,500 for 20 Mbps, and those figures exclude a wireless access point (WiFiT). Complimentary attendee WiFi exists. It is not built to carry a crew pushing 4K files upstream all day.

Freight. Drayage runs $110 to $175 per hundredweight, roughly $120–$155/cwt through the advance warehouse and $140–$170/cwt direct to show. The advance warehouse opens 21–30 days out, early-bird deadlines fall 4–6 weeks before the show, and floor-ordered services carry a 40–60% premium (Pure Exhibits).

Staging. The Claudina Marshaling Yard — six acres of asphalt at Anaheim Blvd and Claudina Way, off the I-5, within two miles of the building — handles freight receipt, move-in and move-out staging and during-event storage (Visit Anaheim). Trucks that turn up cold at the dock wait. Full figures sit on our WiFi and drayage cost page.

Labour rules, and the camera question

Southern California trade show labour has hard edges. An exhibitor may self-install or dismantle only when one full-time employee can do the work in an hour or less without tools. Hand-carry is what one person carries in one trip — dollies, flat trucks and other mechanical equipment are not permitted for exhibitor use. Genie lifts are allowed in Los Angeles, Ontario, Long Beach and Anaheim, banned in San Diego (Union Guidelines by City). Straight time is Monday to Friday 08:00–16:30, overtime outside those hours and all day Saturday, double time Sunday and holidays (EACA Union Work Rules).

Now the part that catches content teams out. At the Los Angeles Convention Center, IATSE Local 33 holds jurisdiction over audio-visual work, camera operators, theatrical lighting, rigging, stage and scenic assembly for general sessions, lighting console programming, spotlight and laser operation (AVR Expos union rules — Los Angeles). Camera operation is named explicitly. Anaheim is a different building with different agreements, and jurisdiction is set show by show through the general services contractor. We do not claim Anaheim is a free-for-all. Before we quote, we confirm in writing with the GSC what our crew may operate and where. If that means union camera labour works alongside us, it goes in your budget openly rather than surfacing on the floor — the same discipline we apply to LA convention social media team work, where Local 33 jurisdiction is explicit.

How this gets measured

  • Publish latency. Capture to live post. Good is under 90 minutes during show hours. Bad is next morning, because by then the audience has left the hall.
  • Volume against plan. Finished assets per show day versus the shot list. Agreed six, delivered three, that is a miss and it appears in the nightly report.
  • Booth-attributable traffic. Profile visits, link clicks and DM volume during show hours against your own baseline for the same weekday. Not a made-up industry benchmark.
  • Lead handoff. How many inbound DMs and comment threads reached a named person on your sales team, and what happened next.

All four need your own pre-show baseline, which we pull in the first 30 days. Retargeting the people who saw the content runs through our paid media and CRO team.

Common mistakes we see

Ordering internet on the floor. Floor-ordered services at Anaheim carry a 40–60% premium, and the early-bird window closes 4–6 weeks out (Pure Exhibits). Forget, and you pay twice for the same connection.

Assuming the free WiFi carries a live team. Upstream is the problem, not download. A single 1080p60 live stream needs around 12 Mbps of encoded bitrate on H.264 (YouTube Live encoder settings) — one stream, before anyone uploads a 4K file.

Booking the crew after the booth is designed. Camera positions, lighting and somewhere to sit and edit are booth-design decisions. Retrofit them and you lose floor space you already paid drayage on.

Treating the show as a content event instead of a demand event. If nobody has agreed who follows up and how fast, the reach number is decoration.

How long until we see results?

Same day. The first cutdowns publish within hours of doors opening. Follower growth, retargeting pools and DM conversations resolve over the following four to six weeks.

What if it isn’t working?

Nightly numbers, not a post-show report. If the format is not landing by end of day one we change it for day two. That is the advantage of being in the building.

Do we own the accounts and the footage?

Yes. You own your social accounts and every frame we shoot. The full library ships to you within 48 hours of load-out.

What is the contract?

Show-by-show for activations. No annual lock-in to hire a crew for NAMM or Expo West. Retained engagements start at $5,000 a month, month to month after the initial term.

Who actually does the work?

Our own crew, out of our Northridge studios. Named people — shooter, editor, community manager — and you meet them before the show. We do not sub-contract the floor team.

The bottom line

Anaheim is where the exhibitor money sits, and a booth at NAMM or Expo West is too expensive to leave undocumented. A live floor team turns three show days into a quarter of content and a measurable pipeline — provided connectivity, freight and labour are answered before you arrive.
