What does an event activation cost?

A staffed interactive build for a three-day show typically runs $4,500 to $12,000 depending on how many stations you want, plus crew if you want content out of it. We quote itemised, never as one number.

How early do we need to book?

Six to eight weeks for Pasadena, Anaheim and the LA Convention Center in peak season. Drayage and electrical deadlines are what actually bind, not our calendar.

Do you handle permits and union labour?

We handle the plan and the paperwork and tell you exactly which line items the venue will force. We do not pretend union rules are optional.

Can you work outdoors?

Yes — fairgrounds, ranches, wineries and parking-lot builds. Power, weather cover and load-in access are the three things we scope first.

Who this is for — and who it isn’t

This is for you if:

  • You have 20×20 or larger at Anaheim and an empty middle you need to fill with a reason to stop walking.
  • Your show is one where every competitor has the same pull-up banners and the same bowl of branded pens.
  • You need dwell time, not impressions. A simulator bay holds a qualified prospect for six to eight minutes with your salesperson standing next to them.
  • You want one vendor accountable for the build, the staffing and the content, rather than three vendors blaming each other on move-in morning.

This is not for you if:

  • You have a 10×10 inline. There is no room, and we will tell you to spend the money on the show’s sponsorship inventory instead.
  • You want a custom fabricated island build. That is an exhibit house job. We activate the space; we do not build 30-foot hanging structures.
  • Your product needs a quiet consultative conversation. A leaderboard and a crowd works against you.
  • You have not budgeted drayage. The activation weight has to move through the same freight system as everything else, and that cost is real.

How it works — 1, 2, 3

  1. The 20-minute fit call. Show, hall, booth number and size, ceiling height, what you sell and who you need to meet. You get a price on that call.
  2. The first 30 days. Footprint plan, freight schedule and the venue paperwork. We place the internet and electrical orders inside the early-bird window and confirm labour scope in writing with the general services contractor. First pre-show asset ships before load-in.
  3. Show week and after. We stage at the marshaling yard, load in on your slot, run the station every open hour, publish daily, and hand you the lead file and the recap inside 48 hours of load-out.

What it costs

Staffed three-day activations run $4,500 to $12,000 depending on how many stations you want and how much content comes with them. Retained engagements start at $5,000 a month. Pricing is given on the first call.

What moves the number: number of stations, show days, whether you want live leaderboards and streaming, and how much finished content you want per day. Venue and show costs sit on top and go to the venue, not to us.

The Anaheim numbers you have to budget for

The Anaheim Convention Center is 1.8 million square feet, the largest on the West Coast. Halls A to E run 145,841, 147,335, 155,673, 221,284 and 143,474 square feet, ACC North adds 200,000 across two levels, and the building holds 99 meeting rooms (ACC Spec Guide). Three separate structures means three separate freight access points, and which one applies depends on the hall your show occupies.

Drayage. $110 to $175 per hundredweight — roughly $120–$155/cwt through the advance warehouse, $140–$170/cwt direct to show. The advance warehouse opens 21–30 days out. Early-bird service deadlines fall 4–6 weeks before the show and floor-ordered services carry a 40–60% premium. Island booths get first move-in slots; inline booths are scheduled much later, and crate unloading typically takes 30–60 minutes (Pure Exhibits).

Staging. The Claudina Marshaling Yard gives you six acres of asphalt at Anaheim Blvd and Claudina Way, off the I-5 and within two miles of the building, for freight receipt, move-in and move-out staging and during-event storage (Visit Anaheim).

Connectivity. Smart City Networks is the exclusive provider (Smart City Networks). Published dedicated bandwidth runs $3,495 for 3 Mbps to $15,500 for 20 Mbps, before access points (WiFiT). A live leaderboard and a posting team both sit on that connection. Our WiFi and drayage cost page has the full breakdown.

Labour. Self-install by exhibitor staff is limited to one full-time employee doing the work in an hour or less without tools, and hand-carry is one person, one trip, no dollies or flat trucks. Genie lifts are permitted at Anaheim, unlike San Diego (Union Guidelines by City). A simulator bay exceeds the exemption every time. Budget union install labour and stop hoping otherwise.

One more thing worth saying plainly. At the Los Angeles Convention Center, IATSE Local 33 jurisdiction explicitly covers camera operators alongside lighting, rigging and AV (AVR Expos). Anaheim is a different building under different agreements, set show by show through the general services contractor, so we confirm scope in writing before quoting rather than guessing.

Anaheim’s calendar is unusually dense with buyers who have budget. MD&M West and its co-located block report 1,800+ exhibitors, 14,100+ verified attendees and 334,000+ square feet of show floor, with 74% of attendees making, recommending or specifying purchasing decisions (MD&M West). The NAMM Show drew 60,000+ attendees and 1,650+ exhibiting companies and returns 26–30 January 2027 (ProSoundWeb). WonderCon runs 26–28 March 2027 with 900+ exhibitors in a 412,000 square foot hall (Comic-Con International). Space Tech Expo USA takes Hall A on 29 June – 1 July 2027 (Space Tech Expo). How this gets measured

  • Sessions run. Completed turns at the station per show day. This is the dwell-time number and it is countable.
  • Captured contacts. Names taken at the station and handed to a named seller, with source tagged. Not badge scans of people walking past.
  • Cost per captured contact. Total activation spend divided by contacts. Compare it against the show’s own lead cost, not an industry average.
  • Content output. Finished assets published per day against the agreed shot list, and time from capture to post.

Common mistakes we see

Ordering on the floor. Floor-ordered services carry a 40–60% premium at Anaheim and the early-bird window shuts 4–6 weeks out (Pure Exhibits).

Designing the activation after the booth. Queue direction, power drop position and camera sightlines are layout decisions. Retrofit them and you lose paid floor space.

No handoff. A crowd with no seller attached is entertainment you paid for. Staff the station and the conversation.

Ignoring the freight math. Simulator crates weigh what they weigh. At $110–$175 per hundredweight, an unplanned extra crate is a four-figure surprise.

How long until we see results?

Day one. Sessions and captured contacts start the hour doors open, and content publishes the same day. The follow-up pipeline resolves over the following four to six weeks.

What if it isn’t working?

We read session counts and capture rate at the end of day one and change the prompt, the giveaway or the queue position for day two. You are not waiting for a post-show report.

Do we own the leads and the footage?

Yes. Captured contacts go to you in your CRM format and you own every frame. Nothing is held back.

What is the contract?

Show by show. No annual commitment to book Anaheim. Retained engagements start at $5,000 a month if you want the content running between shows.

Who actually does the work?

Our own crew, built and staffed from our Northridge studios. You meet the people before the show.

The bottom line

An activation at Anaheim only pays back when the build, the staffing and the content are one accountable job and the freight, labour and connectivity costs are on the budget from the start. That is how we scope it, in writing, before you sign anything.
